All the personal information you provide through this website will be managed by UCAS and UCAS Media, in compliance with the General Data Protection Regulation (GDPR) and Data Protection Act 2018 (DPA). This Policy may refer to UCAS and UCAS Media as “we” and our registered office is Rosehill, New Barn Lane, Cheltenham GL52 3LZ.

This policy explains how we use the personal information we collect about you via this website and some of the terms we use are explained below:

  • Personal information is information – alone or combined with other information – that may identify you. This could include your name, email or home address, or job title.

What personal information we collect and how we use it

  • If you enter your details to request further information; your name and contact details and any information you choose to provide us with in the subject or free text box, so we can correspond with you about your enquiry.

  • If you are happy to be kept informed because you have expressed an interest through submitting an enquiry and requested information; your name and preferred contact details.
  • If we to ask your opinion about our products or services, your preferred contact details and confirmation you are happy to receive marketing. 
  • If you chose to “opt in” or “opt out” of receiving marketing information; your name, contact details and communication choices.

Who your personal information may be shared with

  • Employees of UCAS Media, who on a “need to know basis”, will handle your personal information to progress your enquiry or provide you with further information. 
  • Any organisation who may undertake surveys or gather your opinion on our behalf, if the survey responses are not anonymous and you choose to provide your personal data.
  • If we are required to do so by law, such as for the purposes of crime and fraud prevention and the request has come from the Police or other statutory body.  

Sharing your information through social media

You may share your personal information by using any of the available social media buttons (e.g. LinkedIn, Twitter), posting comments on our Facebook our LinkedIn page or tweeting. When you engage with UCAS Media or UCAS social media, comments you may post are live as soon as you publish them, we do not check and approve them beforehand. We use cookies to provide anonymous information to help us analyse website traffic, usage and behaviour, to enhance user experience and to improve our online advertising.

From time to time, we would like to keep you informed about our products or services. In all cases you will receive this information directly from us, so your personal information will not be shared with any organisation outside of UCAS or UCAS Media for the purposes of direct marketing.

We may also use Google, Twitter and LinkedIn remarketing features which support the promotion of our services you have shown an interest in, if you have subscribed to Google, Twitter or LinkedIn. 

This may be based on a hashed (anonymous) email address, or other anonymous information collected by cookies when you visit our website, such as things like browser cookie ID, mobile device identifier, and IP addresses. This helps us provide you with relevant adverts if you have a Google, Facebook, or Twitter account. 

You can choose to opt-out of receiving these adverts by changing your account setting for Google, Facebook and LinkedIn to opt-out of receiving ‘audience advertising’, to ensure you do not receive tailored adverts. Alternatively, you can enable the Limit Ad Tracking setting (on iOS devices) or the setting to Opt out of Interest-Based Ads (on Android), so Google, Twitter and LinkedIn do not tailor our adverts for you by matching your device to information from partners.

You have the right to object to our use of your personal information, in particular where we process personal data for direct marketing purposes. To do so, please email [email protected].

GDPR – Basis for Processing 

Our use of personal information must meet one of the conditions listed at Article 6 of the GDPR.

Our lawful basis for processing is Article 6 1 (f), where ‘processing is necessary for the purposes of legitimate interests’. UCAS does not receive direct public funding and the revenue generated by UCAS Media helps fund our admissions services and keeps application fees as low as possible. 

If you have signed a contract with us, then our lawful basis for processing is Article 6 1 (b), where ‘processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract’.
